Approach
Start with one function.
Rebuild it end to end.
We map the workflow end to end and rebuild it to prioritize where your human effort should stay focused. Agents carry out the routine tasks.
Start with the intake →Seven stages
From intake to hand-over.
You see a result at each stage, and nothing moves to the next one without your written sign-off.
-
01
Intake.
A structured survey: how calls, orders and inquiries arrive, which systems you use, who handles what, and where it hurts.
-
02
Pick the function.
We score each function on three things: how often it runs, what it costs you, and how many people it touches. The highest score goes first. For most owner-operated businesses that is the phone and the orders, or the invoices.
-
03
Walk-through.
We map the as-is from two sources: the records your systems already keep (point of sale, email, calendar, accounting exports) and the people who do the work. The documented process is rarely the real one.
-
04
Findings: a one-page baseline.
Three measures, written down before anything is built: time or cost, revenue after model spend, and risk. Where each stands today, and how we will measure it.
-
05
Design: delete, code, agent, person.
For every step we ask, in this order: can we delete it, can plain code do it, does it need an agent, or must a person do it. Automating the old process as it is, is the most common mistake.
-
06
Build on your systems, then shadow mode.
Agents work inside the systems you already use; nobody logs into something new. Code does the predictable steps; a model reads only what is unpredictable. For the first weeks the agent drafts and compares but takes no action, and we review every disagreement with you. Then it acts on the cases you approve, and the rest stays with you.
-
07
Hand over.
A runbook your team can follow, a monthly review of cost and errors, and a plain way to switch any skill off.
The pick
Volume, cost, reach.
We score each function on three things. The highest score goes first; the rest wait for the second round. The entries are yours, from your own records.
| Function | Volume | Cost | Reach |
|---|---|---|---|
| Phones and orders calls, bookings, pickups | runs all day | missed orders, re-keyed mistakes | front of house, kitchen, owner |
| Invoices vendor bills, receipts | daily | hours at the desk, late fees | owner, bookkeeper |
| Schedules shifts, swaps | weekly | no-shows, overtime | every employee |
Questions
What owners ask about the method.
Why one function, not the whole business?
Most of the time in a process is lost in the handoffs between people, not inside one task. One function, rebuilt end to end, shows a result you can measure. The second function reuses what the first one learned.
Why not give everyone a chat assistant?
An assistant helps when someone thinks to ask it. An agent in the background does the routine without being asked and brings you the exceptions. We set up both; only the second one changes the cost line.
What if our documented process is wrong?
It usually is. The walk-through maps the real one from your records and your people, and that is where the savings hide.
Do we have to move to new software?
No. We build inside the systems you already use, where they allow it, and we confirm that during the walk-through.
Start with the intake.
Tell us how your business runs. Stage one takes a few answers, and stage two tells you where to start.
